What Are the Key Terms to Fully Understand the Process of Managing Project Knowledge?


  • Deliverable. Any unique and verifiable product, result or capability to perform a service that must be produced to complete a process, phase or project.
  • Lessons Learned. The knowledge gained from the process of performing the project.
  • Lessons Learned Register. The documented explicit knowledge in which the skills, experience, and expertise of the project team and other stakeholders are codified for reusing existing knowledge and creating new knowledge to improve the performance of the project. A project manager finalizes the lessons learned register at the end of a project life cycle, to include final information on phase or project closure.
  • Lessons Learned Repository. The organizational process asset where the finalized version of the lessons learned register is transferred when closing a project, for use by future projects.
  • Resource Breakdown Structure. A breakdown of the resources required to complete the project, by category and type.
  • Stakeholder Register. A prioritized list of all of the project’s stakeholders and the pertinent information about them, such as their interest in the project, the power they have to influence the project, their expectations, and how their expectations will be managed.

  • Explicit Knowledge Vs. Tacit Knowledge. Explicit Knowledge—or know-what—is formalized and codified knowledge. Explicit knowledge is found in: databases, notes, memos, documents, etc. Tacit knowledge—or know-how—is intuitive, hard to define knowledge that is largely experience based . Tacit knowledge includes cultural beliefs, values, attitudes, mental models, etc. as well as skills, capabilities, and expertise. It is shared via stakeholders’ interactions.
  • Knowledge Management Vs. Information Management. Knowledge management uses conversation and interactions between the project team and other stakeholders. Information management uses codification of explicit knowledge. Both concur to knowledge sharing.
  • Project Manager as Communications Facilitator. Good leadership skills—especially relationships and conflict management by building a no-blame culture—are crucial to creating an atmosphere of trust where people are motivated to share willingly their skills, experience, and expertise.
